Data Subject Rights

If we process your personal data, you have the following data subject rights:

• Right to access the processed data and to receive a copy,
• Right to rectification if we process incorrect data about you,
• Right to erasure, unless exceptions apply requiring us to retain the data, e.g., legal retention periods or statutes of limitation,
• Right to restriction of processing,
• Right to withdraw consent to data processing at any time,
• Right to object to processing carried out in the public interest or based on legitimate interest,
• Right to data portability,
• Right to lodge a complaint with a data protection supervisory authority if you believe we are not processing your data properly. For our association, the State Commissioner for Data Protection and Freedom of Information in Baden-Württemberg is responsible. However, if you reside in another federal state or outside Germany, you may also contact the data protection authority there.

Data Processing in the Context of Our Association Work

We collect and use personal data exclusively in accordance with the provisions of data protection law of the Federal Republic of Germany.

Data Collection on Our Website

For technical reasons, your internet browser automatically transmits data to our web server when you access our website. This data includes, among others:

• Date and time of access, URL of the referring website, file retrieved, amount of data sent, browser type and version, operating system, and your IP address.

This data is stored separately from other data. It is not possible for us to assign this data to a specific person. This data is evaluated for statistical purposes and subsequently deleted.

Note on providing information: Upon order of the competent authorities, we may in individual cases provide information on data (inventory data) insofar as this is necessary for purposes of criminal prosecution, danger prevention, fulfillment of the legal tasks of the constitutional protection authorities or the Military Counterintelligence Service, or for the enforcement of intellectual property rights. Web Analysis with Matomo

We use the software “Matomo” (www.matomo.org), a service provided by InnoCraft Ltd., 150 Willis St, 6011 Wellington, New Zealand. The software sets a cookie (a text file) on your computer, allowing your browser to be recognized. When subpages of our website are accessed, the following data is stored:

• The user’s IP address, shortened by the last two bytes (anonymized),
• The subpage accessed and the time of access,
• The page from which the user came to our website (referrer),
• Which browser with which plugins, which operating system and which screen resolution is used,
• The dwell time on the website,
• The pages accessed from the called subpage.

The data collected with Matomo is stored on our own servers. It is not passed on to third parties.

Legal basis and purpose: Art. 6 (1) lit. f GDPR. Our legitimate interest lies in the analysis of surfing behavior to optimize the website. Users are not identified.

You can object to the recording of data in the manner described above in three different ways:

1. You can completely prevent the storage of cookies in your browser. However, this may result in you no longer being able to use some functions of our website that require identification (shopping cart, orders, personal settings, etc.).
2. You can activate the “Do-Not-Track” setting in your browser. Our Matomo system is configured to respect this setting.
3. You can create a so-called opt-out cookie with a mouse click below, which is valid for two years. This will prevent Matomo from recording your future visits. Please note, however, that the opt-out cookie will be deleted if you delete all cookies.

Events and Excursions

The Student Council for Aerospace Engineering regularly organizes events for which it is necessary to collect personal data (e.g., registration for an excursion). This data is stored in accordance with data protection law:

• Access: Only organizers and (for technical reasons) system administrators.
• Deletion: After completion of the organization/event, the data is deleted after a maximum of one year.

Masterrank / FLU-ID

Registration and Authentication (Authentik): Registration is required to use our portal for course evaluation and extended functions (favorites, appointments, FAQs, links). For this, we use the open-source software Authentik as an identity provider.

Important for your data protection: Both the portal and the Authentik system are hosted by us on our own servers. Your login data is not transmitted to external providers or third countries.

When logging in, the following data is transferred from Authentik to our system and stored there:

Full name and email address (including student email address), unique user ID, time of verification

Purpose and Legal Basis The data processing serves to provide personalized functions and to ensure the quality of evaluations. To prevent misuse and to ensure a constructive feedback culture, submitted evaluations are not stored anonymously but linked to your user account. Participation is voluntary. The legal basis for processing is our legitimate interest in improving teaching and supporting students in module selection (Art. 6 (1) lit. f GDPR).

Access and Disclosure Access to personal raw data is restricted exclusively to the system administrators of the Student Council. Your identity will not be published in connection with evaluations. Criticisms or comments from evaluations may be discussed with respective lecturers in quality talks; however, this is done exclusively in anonymized form, so that no conclusion can be drawn about your person.

Storage Duration and Deletion Your data (evaluations, FAQs, links, appointments, favorites) remains stored permanently to ensure the long-term benefit of the portal for the student body. You have the right at any time to request the deletion of your account. In this case, your personal data (name, email, ID) will be deleted. Your content contributions (e.g., evaluations or FAQs) will be completely anonymized so that they remain available to the portal but can no longer be associated with you.

Your Rights You have the right to access, correct, or delete your data. Please contact the Student Council’s email address provided in the legal notice informally for this purpose.

Login via the University of Stuttgart (OIDC)
For access, we use the OpenID Connect (OIDC) procedure of the University of Stuttgart. The login takes place directly with the university. We never gain knowledge of your password. After successful login, we only receive your name, email address, a unique ID, and your status (affiliation, e.g., student@uni-stuttgart.de).

Purpose & Legal Basis: This data serves exclusively to verify your authorization (Art. 6 (1) lit. f GDPR). Without this verification, we cannot ensure access to protected content.

Committees

Certain committee memberships require additional regulations for the respective student representatives (e.g., Faculty Council members).
